HVACScale
Exclusive HVAC leads for NY and NJ contractors

Replacement and heat-pump jobs from homeowners who asked for one installer:
you.

Our own consumer site, The HVAC Index, brings in the homeowner. Exclusive and screened before delivery, never a shared list. You pay per lead ($250–$400 for replacement, heat pump and mini-split leads, $75–$110 for repair and no-heat leads) or only on a close, with credits for bad leads.

The offer

The Exclusive Install Pilot

A 30-day pilot. Everything below is in the agreement you sign, not a sales promise.

  1. 1

    Exclusive: one contractor per lead

Every lead goes to your company only. We never resell it or share it with another contractor.

  2. 2

Screened before you see it (13 questions)

Owner, property, system, timeline, ZIP and phone are checked, and the homeowner's consent to be contacted is stored with the lead.

  3. 3

A price you know before you start

$250–$400 for AC replacement, Furnace and boiler replacement, Heat pump and mini-split; $75–$110 for AC repair, Furnace and boiler repair, No heat (emergency), Tune-ups and maintenance plans. Fixed in your pilot agreement. No retainer, setup fee or management fee.

  4. 4

Bad lead? Flag it within 3 days, get a credit

Credits for: duplicate lead; wrong or disconnected phone number; person denies submitting the request; outside the agreed service area; person is not the owner or authorized by the owner; commercial property (outside the offer). Credited dollars go back on your balance, and unused budget rolls over.

  5. 5

Or pay on results (Option B)

$150 per replacement, heat pump or mini-split lead, plus 4% of the signed contract value of each job you sell to one of our leads, capped at $600 a job, for 12 months after delivery. An $11,500 job owes $460. Repair leads stay flat.

  6. 6

We follow up with the homeowner (Option B)

We check in with each homeowner 7, 21 and 45 days after delivery to confirm what happened, and the homeowner gets $50 for sending us a signed proposal. That is how a success fee stays honest on both sides.

  7. 7

    Live in 2 business days

We start your campaigns within two business days of receiving your first monthly budget, and leads arrive in real time.

Exclusivity is per lead, not per territory: a homeowner may also contact other contractors on their own.

Risk reversal

If the leads are bad, you do not pay for them

Here is what we take on, and, just as plainly, what we do not promise.

What we take on

  • Credits: flag a bad lead within 3 days and the money goes back on your balance.
  • No retainer, no setup fee, no management fee. You set the monthly budget, and we do not deliver beyond what you have prepaid.
  • The pilot is 30 days, then month to month. No long-term commitment and no cancellation fee.
  • Cancel any time with 7 days' notice by email. Within 30 days we return any prepaid budget not yet used on delivered leads.

What we do not promise

  • No guaranteed number of leads, contacts, appointments, customers or revenue. Volume follows homeowner demand.
  • No guaranteed close rate. Closing the job is your team's work.
  • No credit because a lead did not buy, or because your team did not reach them. Credits cover lead quality, not outcomes.
  • No promise of a price, rebate or tax credit to any homeowner, and none made on your behalf.

HVACScale vs shared-lead marketplaces

If shared leads have burned you, this is the difference.

Who gets the lead
One contractor: you.
Shared with several pros.
What is checked first
Screened against our question list, with consent on record, before delivery.
Varies. Ask what is checked before you pay.
What you pay
A flat price per lead, fixed in your agreement, with credits for bad leads.
Per lead or per contact, whether or not the homeowner picks you.
Who the homeowner expects
A call from the one contractor their request went to.
Calls from several pros.
Pay only when you close
Option B: a base plus a success fee only on a signed job.
Mostly paid up front per lead or contact.

The right column describes the shared-lead model in general. Terms differ by marketplace, so check theirs.

Built for contractors who live by the estimate calendar

HVAC demand comes in waves, and a slow call-back loses the job. HVACScale is for contractors who want homeowners who asked for an estimate, a say in the replacement and repair mix, and a lead area that matches where their trucks actually go.

Booked estimates in season

Peak weeks are short. Leads reach your office the moment a homeowner finishes screening, with their timeline and system details attached, so your team can call while they are still comparing. Raise, lower or pause your budget as the season turns.

Your replacement and repair mix

A system replacement and an emergency repair are different jobs with different prices. Job types are routed separately, so you can ask for replacements only, repairs only, or both, and change the mix as your crews and calendar change.

Service area you control

You tell us the states and ZIP codes you serve. A lead outside your agreed area is not what you bought, and it qualifies for a credit.

How HVACScale works

No retainer. No shared leads. Homeowners who asked for an estimate, delivered straight to your office.

  1. 1

Set your budget and your mix

Choose a monthly budget and which jobs you want: replacements, repairs or both. Your price per qualified lead is fixed inside the published range ($250–$400 for replacement, heat pump and mini-split leads, $75–$110 for repair and no-heat leads) in your pilot agreement, so you know it before you start.

  2. 2

    We run the campaigns

We run and pay for the ads and the screening funnel that reach homeowners who need an estimate, repair or replacement in your service area.

  3. 3

    Your team calls and books

Screened homeowners who agreed to be contacted arrive in your inbox, CRM or dispatch line in real time, exclusive to your company. You book the estimate.

Why a replacement lead costs $250–$400, and why a range?

The ads, the screening and the job itself all cost real money, and they differ by job type, by market and by whether a lead is shared. Here is what sits behind the number.

about $9 to $20

per Google click

about $150 to $250

per ad lead in NY metro

about $11,500

typical replacement job

about 28 to 38%

close rate on replacement intent

Figures are approximate and come from our research, October 2026. New York figures are estimates.

Prefer to pay on results?

Option B lowers the base to $150 per replacement, heat pump or mini-split lead and adds 4% of each job you sign, capped at $600. We confirm closed jobs with the homeowner. Option A stays a flat $250–$400.

Example: 10 leads, 30% close, $11,500 jobs comes to $2,880 on Option B against $2,500 to $4,000 on Option A.

Lead credit policy

Flag a lead within 3 days and we credit it if it falls under one of these reasons. Unused budget rolls over to the next month.

  • Duplicate lead
  • Wrong or disconnected phone number
  • Person denies submitting the request
  • Outside the agreed service area
  • Person is not the owner or authorized by the owner
  • Commercial property (outside the offer)

Frequently asked questions

Are the leads exclusive?

Yes. Every lead we deliver goes to one contractor only. We never resell it or share it with another company.

How are leads screened?

Every homeowner answers the same questions before a lead is delivered: ZIP code; state; property type; homeowner or authorized by the owner; system type; system age; what do they need; timeline; ready to get quotes; interested in financing; already has quotes; best time to reach them; mobile phone. Phone/SMS consent verification.

Can I choose replacements only, or repairs only?

Yes. Job types we offer: AC replacement; furnace and boiler replacement; heat pump and mini-split; AC repair; furnace and boiler repair; no heat (emergency); tune-ups and maintenance plans. Your mix is set in the pilot agreement and you can change it for a future month.

What happens in a busy week or a slow one?

You set the monthly budget and can raise, lower or pause it; changes take effect at the start of your next billing cycle. We do not guarantee a number of leads in any period, because volume follows homeowner demand. Unused budget rolls over.

What counts for a credit?

Flag a lead within 3 days and we credit it if it is: duplicate lead; wrong or disconnected phone number; person denies submitting the request; outside the agreed service area; person is not the owner or authorized by the owner; commercial property (outside the offer). Credits go back on your account.

Which areas do you cover?

We are starting in NY and NJ, and we only deliver inside the service area in your agreement.

Do you take a percentage of the job?

Only if you choose Option B. On Option A you pay a set price for each qualified lead we deliver, between $75 and $400 depending on job type and market, agreed in your pilot agreement before you start, and it does not depend on whether you book or win the job.

Can I pay on results instead?

Yes. Option B lowers the base to $150 per replacement, heat pump or mini-split lead and adds 4% of the signed contract value of each job you sell to one of our leads, capped at $600 a job, for 12 months after delivery. Repair leads stay flat. You send a monthly list of jobs sold, we confirm closes by following up with the homeowner (who gets $50 for sending us a signed proposal), and we may audit. An unreported close owes the fee and ends Option B. The pricing page has a worked example.

Why a range?

The price depends on the job, the market and exclusivity. A replacement, heat pump or mini-split lead is worth far more to you than a repair lead (about $11,500 against about $1,200 for a typical job), so it costs more. Advertising is dearer in New York City and Long Island than elsewhere, and every lead goes to one contractor only. Your pilot agreement fixes one price inside $75 and $400 before you start. Figures are from our research, October 2026; the full breakdown is on our pricing page.

Who is responsible for licensing and compliance?

Your company is. HVACScale is a marketing and lead-generation company, not a contractor and not a referral guarantee. We never state that a contractor is licensed unless its license number has been verified for the state, and we never promise a price, a rebate or a tax credit. Contractors are independent, are responsible for their own state and local licensing (for example NYC DCWP home improvement, NJ master HVACR) and EPA 608 certification, and set their own quotes. Our fee is a flat price per lead that does not depend on whether a job is booked, quoted or won. Every lead carries a stored consent record naming the contractor.

How are leads delivered?

In real time, as soon as a homeowner finishes screening, to your inbox, CRM, webhook or dispatch line. Each lead includes the homeowner's name, phone, email, address details, the answers to every screening question and the record of their consent.
